Entries disappearing from site when edited - a few questions

    I’ve had a worried client on the phone saying that a load of entries have just disappeared from his site. After investigate it turned out they are still there, but with an entry status of closed. A bit more digging around turned up that the entries had been edited by a staff member, and I discovered that for some reason that sets the entries to ‘closed’.

    How can I stop this from happening? I would like the newest revision non-closed entry to be shown, until an administrator changes the latest closed entry to open.

    Also what do I need to do to have the website admin emailed whenever an entry is edited, and thus needs aproving?

    Is there an approval queue, or some way of seeing all articles that are awaiting approval?

    If I had to bet, the staff member is in a group that doesn’t have access to the relevant status.  In ‘Admin- Weblog Admin- Weblog Management’ make sure that for each weblog, you have a status group assigned.  If that doesn’t do the trick- go to edit the statuses- and for each relevant status, make sure the member has permission to assign it.

    Will this work for what you want?  Or… I’m a bit confused on the work flow.

    OK, I think this is was happens here: The entry has an “open” status. Now somebody redacts it, who does not have access to the open status. The entry reverts to “Draft” (or whatever), and needs to be approved (again), ie have its status changed to “Open” to re-appear on the live site.

    There is no obvious way to implement such a workflow, I think. If I had to do this I’d probably use separate weblogs, or perhaps clone an entry and edit that? Will need some thinking through, though.

    Ah great, that’s explained half of it, so thank you Robin & Ingmar.

    The weblog didn’t have a status group assigned. Interestingly though however, the entry options tab still showed up Open and Closed statuses?

    Now I’ve assigned a status group to it, when a staff member edits an entry it does not get pulled from the site, but the problem is I’d like all edits to be reviewed by an admin first before going live. This is what I was trying (perhaps badly!) to explain in my first post.

    Can I achieve this functionality somehow?

    Only for Superadmins, I am willing to bet.

    You can easily do that once, before putting it live. It’s not so easy for subsequent re-editing; in fact I can’t think of a good way off the top of my head, save for what I said above.

    Also, I leave the call to Robin, but this is quickly becoming a “Howto” kind of question 😊
